Terms & Conditions
Thank you for your interest in scheduling a portrait session with Butler Portraits! We are a highly sought-after, high-end studio dedicated to creating stunning portraits for our clients across the Commonwealth of Virginia and beyond! To ensure the quality and exclusivity of our experience, we have established the following terms & conditions for scheduling an appointment with our studio.
Limited Availability & Time Commitment:
Due to our meticulous approach and focus on client satisfaction, we have a limited number of appointments available. We block off our studio and staff for two hours for every portrait session. Many of our staff come from out of town!
To secure your desired date and time, we collect a fully refundable $100 deposit upon booking. This deposit will be returned to you at the end of your selection appointment, provided you show up for your scheduled portrait session.
Rescheduling & Cancellations:
We understand that scheduling conflicts can arise. However, to ensure fairness and efficiency, rescheduling appointments with less than two weeks' notice will result in a non-refundable deposit.
If you reschedule your appointment with more than two weeks' notice, your deposit will be applied towards your new session and will still be refunded on the day of your appointment.
Please note that deposits are non-refundable for permanently cancelled appointments.
Dress Code:
To maintain the elegance and timeless quality of our portraits, we kindly ask that all clients adhere to our dress code.
Formal attire is preferred.
If absolutely necessary, casual dress is permitted, but must adhere to the following guidelines:
Solid, non-distracting colors (no florals, patterns, polka dots, stripes, text or lettering, etc.)
Styles that will remain appropriate 20 years from now.
Absolutely NO Jeans, bright/neon colors, or busy patterns.
Clients who arrive in attire that does not meet our dress code may be politely declined service and asked to reschedule.
A Note For Our Magical Portraits: For a truly enchanting experience, We provide outfits for children (and for mom & dad in the case of a mommy/daddy & me session). When you arrive, we will escort you to your dressing room(s). If you would like any hair styling, makeup, or nail polish, we recommend applying those prior to your arrival time.
A Note For Our Clients with Pets/Fur Babies: We welcome your furry family members to your portrait session! To ensure a smooth and enjoyable experience for everyone, please ensure your pet is well-groomed and bathed before the session. For the safety of all our clients and our staff, leashes are required for pets outside of the camera room, and all pets must be well-behaved during the portraits session.
Family Portraits:
We believe in capturing the complete family unit in our portraits. Therefore, please arrive with your entire family for your scheduled session. Failure to bring all family members may result in an incomplete portrait. In such cases, we may request to reschedule your appointment or politely ask you to return with the entire family for a complete portrait.
Please Note: Online booking is not available for families with children under 9 months. Families in which the statement applies are welcome to call the studio at 804-744-4700 to schedule their appointment. This policy ensures optimal conditions for and the best expressions when capturing beautiful portraits of both the child and the family.
Magical Children Portraits with Children Under 3:
For child(ren) under 3 years old, our Mommy/Daddy & Me policy is automatically instated. There is no additional for including Mommy/Daddy in the portrait. We have found that when parents are nearby in the portrait during Magical Children sessions, especially with young children, the child is often more expressive, resulting in better portraits. Of course, we will still also create portraits of the child alone.
Magical Children Portraits with Multiple Children:
One child is included in a standard Magical Children Portrait Session. To create portraits of more than one child, a $29/child fee will apply and will be collected at the start of the session. This fee is nonrefundable and is taxed.
Outdoor Portraits:
For a breathtaking change of scenery, we offer outdoor portrait sessions for an additional $300 that will be collected at the start of the session. If you wish to go outdoors, this must be pre-arranged with the studio to ensure the proper staff are available. This fee is nonrefundable and is taxed.
